Upload Mass Supplement


Concept

In this topic, you will learn how to perform a Mass Supplement Upload.


Steps:

  1. Mass Upload of Formula Supplements will allow Program Executive Office users to

    create multiple supplements in a batch, by uploading a formatted CSV file.

    The awards to be supplemented must meet the requirements listed below;

     

    - Award must be in Open Status

    - Award must be in Obligated Status

    - ACCS String must be available in G5 system

    - There must be no pending Supplement(s) for each award

    - There must be no pending Admin Actions for each award

    - Users must upload supplements using a CSV formatted file

     

    The system will generate an email notification to the G5 Functional Team and the Program Executive office user who generates the CSV file when the Mass Formula Supplement

    Upload is successfully executed.

  2. The Mass Formula Supplement Upload functionality involves uploading a CSV file which

    must be saved on your computer or a network drive.

     

    The file must be formatted as it appears here.

     

    - PR/Award Number

    - Budget Fiscal Year

    - Supplement amount (Must include the - minus sign to indicate a negative supplement

    - Positive Supplement (Must input a Y/N)

    - ACCS String

    - Comment(s) (Optional)

     

    Program Office users are allowed to upload multiple supplements on this formatted file.

  3. Click the Formula Supplement Mass Upload menu item to begin the process of uploading formula mass supplement data.

  4. Click the Upload button to upload the file.

  5. Click the appropriate button to search for the file.

     

    In this example, click the Browse button.

  6. Navigate to the appropriate file and click to select it.

     

    Note: The file must be in .CSV format.

     

    In this example, click the Supplement_Upload list item.

  7. Click the Open object.

    Click the Open button to pull the file into the G5 File Upload field.

  8. Click the Perform Upload button to upload the file.

  9. Click the Formula Supplement Upload button to complete the upload.

  10. Note: If there are issues with any of the awards, error messages will be displayed in red here.  These errors are caused by either formatting issues or data errors on the CSV file.

     

    Each record must be successful to perform the upload.

  11. Click the Submit button to save your changes.

  12. A confirmation message will appear indicating that the mass upload was successful.

     

    Click the Go To Home button to return to the My Home Page screen.
