In this topic, you will learn how to modify a performance record.
Steps:
Click the Performance Monitoring menu item to begin the process of modifying performance details of an award.
Step 1Enter the information into the Fiscal Year field.
For this example, enter a valid value e.g. "2022".
Step 2Enter the information into the CFDA/Subprogram field.
For this example, enter a valid value e.g. "84.004A".
Step 3Enter the information into the Schedule No. field.
For this example, enter a valid value e.g. "1".
Step 4Click the Search Awards button to search for awards which meet the criteria.
Step 5Click the Select radio button to select the award you want to modify.
In this example, click the Select radio button to select the first award.
Step 6Click the Vertical scrollbar to scroll to the bottom of the page.
Step 7Click the Modify Performance button to begin modifying the performance for the award.
Step 8Note: You can add Grantee and Closeout Contacts on the General tab. This step is optional. These fields have been populated for this example.
Note: You may also modify the grant schedule information as needed by clicking the button.
Step 10Click the Continue button to continue to the Grantee Site Visit Details tab.
Step 11Note: If you have conducted a site visit, you can record your findings on the Grantee Site Visit Details tab.
If you have not conducted a site visit, you can leave all fields blank and click the Continue button.
We will complete the site visit details fields in this example.
Step 12Click the Show Calendar button to display the calendar for the Site Visit Date field.
Step 13Click the site visit date on the calendar.
In this example, click August 1.
Step 14Enter the information into the Site Visit Contact Person field.
For this example, enter a valid value e.g. "Lisa Davis".
Step 15Click the Upload button to upload a file for the Site Visit Findings.
Step 16The G5 File Upload box displays.
Click the Browse… button to display your file directory.
Step 17Navigate to the appropriate file and click to select it.
Note: The file must be in PDF format.
In this example, click the Site Visit Log list item.
Step 18Click the Open button.
Click the Open button to display the file in the Browse field.
Step 19Click the Perform Upload button to upload the file to G5.
Step 20Click the Add button to add the file to the Grantee Site Visit Details.
Step 21Click the Vertical scrollbar to scroll down.
Step 22The file has been added to the Site Visits List.
Click the Continue> button to move to the Report Details tab.
Step 23Note: Any existing report milestones are listed. You may add milestones to the list by completing the Report Details section and clicking Add.
Also Note: You may also associate research products, modify milestone data, or remove milestones by clicking the appropriate button.
In this example, we will manually add a receipt date.
Click the appropriate Select radio button to select the milestone you want to modify.
In this example, click the Select radio button for the Annual Performance report.
Step 25Click the Modify button to modify the milestone.
Step 26Click the Show Calendar button to display the calendar for the Receipt Date field.
Step 27Click the receipt date on the calendar.
In this example, click September 20.
Step 28Click in the Risk Level field to select a risk level.
Step 29Select the appropriate risk level.
In this example, click the Not risk Related list item.
Step 30Note: If you select "Not Risk Related" as the risk level, the remaining fields (Mitigation Strategy, Performance Issue, and Identification Method) are not required and will be grayed out.
Step 31Note: If you select "Evidence of Risk" or "Preliminary High Risk" as the risk level, the Mitigation Strategy, Performance Issue, and Identification Method fields become mandatory. An error message will appear if the fields are not completed.
Click the Update button to update the milestone data.
Step 33The receipt date has been added.
Click the Vertical scrollbar to scroll down.
Step 34Note: After all reports for a budget period have been received, you will indicate whether or not the grantee has met their substantial progress requirements.
This step must be completed before rolling over an award to fund the next fiscal year.
Step 35Click the Continue> button to move to the Summary tab.
Step 36Click the Vertical scrollbar to scroll down and review the information you have entered.
Step 37Click the Submit button to submit and save your work.
Step 38The system displays a message indicating that the changes were saved.
Click the Vertical scrollbar to scroll down.
Step 39Note: If you would like to modify the performance of additional awards, you may click Done and return to the search screen to repeat the process.
Step 40Click the Go To Home button to return to the My Home Page screen.
Step 41Congratulations!
You have successfully modified a performance record.
