Create a Clause


Concept

In this topic, you will learn how to create a clause in G5.


Steps:

  1. Click the Clauses Maintenance menu item to begin the process of creating a clause.

  2. Click the Create New Clause button to create a new clause.

  3. Enter the title for the clause into the Award Clause Title field.

     

    For this example, enter a valid value e.g. "Training".

  4. Click the button to the right of the Award Type field to display the award types.

  5. Select the All Award Types list item for this example.

  6. Click the button to the right of the Action Type field to display the list of action types.

  8. Click the button to the right of the Action Period field to display the list of action periods.

  10. Note:  You may mark the clause as mandatory which means that it will print automatically when you print the Grant Award Notification (GAN).  If you do not mark it as mandatory, you will need to select it separately when printing the GAN if you would like it to print.

  11. Click the button to the right of the Clause Type field to display the list of clause types.

  12. Click the Vertical scrollbar to scroll down through the list.

  13. Select the Admin Action - Address change/correction clause list item for this example.

  14. Note:  The clause will include the generic Department of Education language for the clause type you selected.  If you would like to put specific language in the clause, you may enter it in the Clause Text section.

  15. Click the Vertical scrollbar to scroll down to the remaining fields.

  16. You may select one or many CFDAs in which the clause will be included or you may select one or many subprograms.

     

    NoteIf you select only a CFDA or CFDAs, the system will automatically include the clause in all the subprograms associated with the CFDA(s).  However, if you select a subprogram or several subprograms, the clause will only be included in the subprogram(s) you selected and you do not need to choose the associated CFDA(s).

  17. For this example, one subprogram will be selected.

     

    Click the Vertical scrollbar to scroll down through the list of subprograms.

  18. Select the 84.066W list item for this example.

  19. Click the Add > button to add the subprogram you selected to the Selected Subprograms list.

  20. Click the Vertical scrollbar to scroll back down to the bottom of the screen.

  21. Click the Continue > button to move to the Summary tab.

  22. Click the Vertical scrollbar to scroll down and review the information you have entered for the clause.

  23. Click the Submit button to submit the new clause to the system.

  24. Click the Click here to view/print the list of these awards. link to view the list of awards which will be affected by the new clause.

  25. Click the Vertical scrollbar to scroll down and review the list of awards.

  26. When you have finished reviewing the awards, click the Previous button to return to the screen with the caution message.

  27. Click the Yes button to confirm the submittal of the clause to the system.

  28. The system displays a message indicating that the clause has been successfully created.

     

    Click the Vertical scrollbar to scroll down.

  29. Note:  If you want to create additional clauses, you may click the Done button and return to the Maintain Clause screen to repeat the process.

  30. Click the Go to Home button to return to the My Home Page screen.
