Enter Drawdown Adjustments


Concept

In this topic, you will learn how to process a drawdown adjustment from one award to another which applies to both Direct Loan and Non-Direct Loan awards.

 

The adjustment may be applied across multiple awards, yet this procedure demonstrates decreasing the net draw amount from one award and increasing the net draw amount to a second award.

 

Warning: The award for which you are increasing the net draw amount must have available funds that equal to or greater than the amount being requested in order to increase the net draw amount.


Steps:

  1. Click the Create Adjustments menu item to go to the Create Adjustments screen.

  2. You can use the Filter By fields to search for awards of a specific fiscal year and/or award type.

  3. Click the Continue button to view the specified awards.

  4. Note that the Increase Net Draws or Decrease Net Draws fields may be grayed out due to available balances, invalid or missing bank account information or specific award status (such as Stop Payment, Suspension, etc.).

     

    For example, if the Available Balance for an award is $0, then the Increase Net Draws will be grayed out.  Conversely, if the Net Draws is $0 then the Decrease Net Draws will be grayed out.  You cannot go below a zero Available Balance nor increase your Net Authorization above its awarded amount.

  5. For an Adjustment, the net effect of the increases and decreases must equal zero.  This means that the total of the Decrease Net Draws must be the same as the total of the Increase Net Draws.

     

    Do not put in negative numbers in the Increase/Decrease Net Draws fields.

     

    The amount placed into Decrease Net Draws will increase the Available Balance for that Award once approved.

     

    The amount placed into the Increase Net Draws will decrease the Available Balance for that Award.

  6. Click in the Decrease Net Draws field for the Award to which you want to decrease the Net Draw (which increases the Available Amount).

     

    For this example, click in the Decrease Net Draws field for the second row (Award H325D080089).

     

    Use the Decrease Net Draws field to reduce previously disbursed payment amounts.

  7. Enter the desired adjustment amount for this award into the Decrease Net Draws field.

     

    For this example, please enter "210".

  8. Click in the Increase Net Draws field for the Award to which you want to increase the Net Draw (which decreases the Available Amount).

     

    For this example, click in the Increase Net Draws field for the third row (Award H326C070047).

     

    Use the Increase Net Draws field to effectively increase the disbursed payment amount for this Award (to be transferred from the other Award to this one).

  9. Enter the desired amount to increase the net draw (or payment requested amount) into the Increase Net Draws field.

     

    For this example, please enter "210".

  10. After entering the Decrease and Increase amounts, click the Vertical scrollbar to scroll down.

  11. Click the Continue button to process the adjustment and move on to the next screen.

  12. Click the Submit Adjustments button to continue and process the adjustment.

  13. The Confirmation screen displays.

     

    Note that G5 provides a new Adjustment Control Number that begins with AD.  This unique identifier may be used for tracking purposes and for searches for the Inquire Payment Request procedure.

     

    The lower section also provides the Award number and the related net draw increases and decreases.
