Create a Program Specific Clause

In this topic, you will learn how to create a program specific clause.


Steps:

  1. Click the Clauses Maintenance menu item to begin the process of creating a program specific clause.

  2. Click the Create New Clause button to create the new clause.

  3. Enter the title for the clause into the Award Clause Title field.

     

    For this example, enter a valid value e.g. "Training II".

  4. Note that the Program Office field defaults to the Program Office to which you are associated in G5.

  5. Click the button to the right of the Award Type field to display the list of award types.

  6. Select the All Award Types list item for this example.

  7. Click the button to the right of the Action Type field to display the list of action types.

  9. Click the button to the right of the Action Period field to display the list of action periods.

  11. Note:  You may mark the clause as mandatory which means that it will print automatically when you print the Grant Award Notification (GAN).  If you do not mark it as mandatory, you will need to select it separately when printing the GAN if you would like it to print.

  12. Click the button to the right of the Clause Type field to display the list of clause types.

  13. Note that the clause type defaults to Standard Clause.

  14. Click the Vertical scrollbar to scroll up through the list of clause types.

  15. Select the Admin Action - No Cost Time Extension list item for this example.

  17. Enter the specific language for your program office into the Clause Text field.

     

    For this example, enter "Submit to Ed Coolidge at ed.coolidge@ed.gov.".

  18. Click the Vertical scrollbar to scroll down to the remaining fields.

  19. Note:  When you are creating a program specific clause, you may indicate one or several subprograms to which the clause will be associated.

  20. Click the Vertical scrollbar to scroll down through the list of subprograms.

  21. Select the 84.066W list item for this example.

  22. Click the Add > button to add the subprogram you selected to the list of Selected Subprograms.

  23. Click the Vertical scrollbar to scroll back down to the bottom of the screen.

  24. Click the Continue > button to move to the Summary tab.

  25. Click the Vertical scrollbar to scroll down and review the information you have entered.

  26. After reviewing the Summary information, click the Submit button to submit the new clause to the system.

  27. Click the Click here to view/print the list of these awards link to view the list of awards which will be affected by the new clause.

  28. Click the Vertical scrollbar to scroll down and review the list of awards.

  29. When you have finished reviewing the awards, click the Previous button to return to the screen with the caution message.

  30. Click the Yes button to confirm the submittal of the clause to the system.

  31. The system displays a message indicating that the clause has been successfully created.

     

    Click the Vertical scrollbar to scroll down to the bottom of the screen.

  32. Note:  If you want to create additional clauses, you may click the Done button and return to the Maintain Clause screen to repeat the process.

  33. Click the Go to Home button to return to the My Home Page screen.
