In this topic, you will learn how to create a program specific clause.
Steps:
Click the Clauses Maintenance menu item to begin the process of creating a program specific clause.
Step 1Click the Create New Clause button to create the new clause.
Step 2Enter the title for the clause into the Award Clause Title field.
For this example, enter a valid value e.g. "Training II".
Step 3Note that the Program Office field defaults to the Program Office to which you are associated in G5.
Step 4Click the button to the right of the Award Type field to display the list of award types.
Step 5Select the All Award Types list item for this example.
Step 6Click the button to the right of the Action Type field to display the list of action types.
Step 7Select the All Action Types list item for this example.
Step 8Click the button to the right of the Action Period field to display the list of action periods.
Step 9Select the All Action Periods list item for this example.
Step 10Note: You may mark the clause as mandatory which means that it will print automatically when you print the Grant Award Notification (GAN). If you do not mark it as mandatory, you will need to select it separately when printing the GAN if you would like it to print.
Step 11Click the button to the right of the Clause Type field to display the list of clause types.
Step 12Note that the clause type defaults to Standard Clause.
Step 13Click the Vertical scrollbar to scroll up through the list of clause types.
Step 14Select the Admin Action - No Cost Time Extension list item for this example.
Step 15Click the Vertical scrollbar to scroll down.
Step 16Enter the specific language for your program office into the Clause Text field.
For this example, enter "Submit to Ed Coolidge at ed.coolidge@ed.gov.".
Step 17Click the Vertical scrollbar to scroll down to the remaining fields.
Step 18Note: When you are creating a program specific clause, you may indicate one or several subprograms to which the clause will be associated.
Step 19Click the Vertical scrollbar to scroll down through the list of subprograms.
Step 20Select the 84.066W list item for this example.
Step 21Click the Add > button to add the subprogram you selected to the list of Selected Subprograms.
Step 22Click the Vertical scrollbar to scroll back down to the bottom of the screen.
Step 23Click the Continue > button to move to the Summary tab.
Step 24Click the Vertical scrollbar to scroll down and review the information you have entered.
Step 25After reviewing the Summary information, click the Submit button to submit the new clause to the system.
Step 26Click the Click here to view/print the list of these awards link to view the list of awards which will be affected by the new clause.
Step 27Click the Vertical scrollbar to scroll down and review the list of awards.
Step 28When you have finished reviewing the awards, click the Previous button to return to the screen with the caution message.
Step 29Click the Yes button to confirm the submittal of the clause to the system.
Step 30The system displays a message indicating that the clause has been successfully created.
Click the Vertical scrollbar to scroll down to the bottom of the screen.
Step 31Note: If you want to create additional clauses, you may click the Done button and return to the Maintain Clause screen to repeat the process.
Step 32Click the Go to Home button to return to the My Home Page screen.
Step 33Congratulations!
You have successfully created a program specific clause.
