In this topic, you will learn how to generate and electronically sign a GAN for a Formula award.
Steps:
This topic will only feature how to electronically sign a GAN for a Formula Award. The Formula Award funding status will need to be in an Approved Status.
Step 1Click the Prepare menu item to begin the process of preparing an award.
Step 2Enter the correct information into the Fiscal Year field.
In this example, enter "2023".
Step 3Enter the appropriate information into the CFDA/Subprogram field.
In this example, enter "84.060A".
Step 4Enter the appropriate information into the Schedule No. field.
In this example, enter "1".
Step 5Click in the Award Type field to display the list of award types.
Step 6Select the Formula list item for this example.
Step 7Click the button to the right of the Action Type field to display the list of action types.
Step 8Select the New Competition list item for this example.
Step 9Click the Search button to search for the awards which meet the search criteria.
Step 10Click the Select radio button to select the award you want to prepare.
In this example, select the first award listed.
Step 11Click the vertical scrollbar to scroll down.
Step 12Click the Prepare Award button to prepare the award.
Step 13Note: The award has prepared in this example.
This topic focuses on completing the delegated electronic signature on the GAN only.
Step 14Click the Summary tab to view the Summary page.
Step 15Click the vertical scrollbar to scroll down.
Step 16Click the Submit button to submit and save your work.
Step 17The system displays a message indicating that the changes have been saved.
Click the Generate Grant Award Notification (GAN) button to generate the GAN.
Step 18Click the vertical scrollbar to scroll down.
Step 19Note: The Signature Type defaults to Delegated Electronic Signature - Formula.
To issue a GAN in hard copy users must select the "Hard Copy Signature" option. Selecting the "Hard Copy Signature" option will require users to enter a comment justifying their decision to override the default. Print Options all default as checked. You may uncheck the box for attachments, payee verification and mailing label as needed.
After confirming the Delegated Electronic Signature - Formula option is selected and checking the appropriate print options, click the Continue button to generate the GAN.
Step 21After the GAN is generated, a link to the GAN PDF will appear. Click the link to open and review the GAN for accuracy.
In this example, click the GAN-S060A232732 link to view the GAN.
Step 22After reviewing the GAN, click the Close icon (X) to close the PDF tab.
Step 23Click the Initiate eSignature button to start the eSignature process.
Step 24A message will appear confirming that the GAN has been submitted to Adobe.
Click the Sign GAN button.
Step 25The GAN will open in a new Adobe Acrobat Sign tab.
Click the Continue button to acknowledge the terms of use.
Step 26Click the vertical scrollbar to scroll down to the Signature field.
Step 27You can either click the Sign With Acrobat field or the Start button to continue.
In this example, click the Sign With Acrobat field.
Step 28Click the Submit and Proceed to Sign button.
Step 29Click the Download Document button to download the GAN.
Note: Downloading the GAN is required to complete the eSignature process but you must delete the GAN from your computer afterward.
Step 30Navigate to the folder where the GAN is saved.
Click the file name to open the GAN PDF.
Step 31Click the Enable Editing button at the top of the document to access the eSignature field.
Step 32Click the OK button to confirm you want to continue.
Step 33You can click the Show Signature button or scroll down to the Signature field in Block 10.
In this example, click the Show Signature button.
Step 34Click in the Click here to sign field.
Step 35The Sign with a Digital ID window will open.
Ensure your name is selected then click the Continue button.
Step 36Click the Sign button.
Step 37Click in the PIN field to enter your PIN.
Step 38Next, enter your PIN in the Smart Card window.
This step has been completed in this example.
Click the OK button to submit your PIN.
Step 40A window will appear confirming that you have successfully signed the GAN.
Click the OK button to continue.
Step 41Your signature now appears on the GAN.
Click the Close icon (X) to close the Adobe window.
Step 43You will be asked if you want to save the GAN.
Click the No button to continue.
Step 44After signing the GAN, you must return to the folder where you downloaded the GAN and delete the file.
Right-click in the Name field.
Note: Electronically signed GANs must be deleted from your computer after completing the eSignature process. Additionally, users should never distribute the GAN saved on their local computers.
Electronically signed GANs are saved in the award's Grant File.
Step 45Click the Delete menu.
Click the Delete menu item.
Step 46Click the Yes button to confirm you want to delete the file.
Step 47After deleting the file, return to the G5 page. Note that G5 now indicates the GAN has been signed.
Click the Submit button to complete the process and save your data.
Step 49A message will appear confirming that the Funding Status of the award has been set to Printed.
Click the Go to Home button to return to the homepage.
