Send Email


Concept

In this topic, the user will learn how to send an e-mail to an award recipient. To send an email to multiple recipients, please see the topic 'Broadcast Email'.


Steps:

  1. Click the My Grants link to view the list of assigned awards.

    Step 1
  2. Select the desired award by clicking the PR Award Number link.

     

    In this example, select award Z420C130002.

  3. Click the Email button to draft an email to the grantee.

  4. Click in the To field to select the email recipient.

     

    Note: The dropdown list is prepopulated with email addresses for the project director and certifying official for the selected award.  You can type additional addresses beneath the dropdown.

  5. Select the email recipient from the dropdown list.

     

    In this example, select Both.

  6. The ED Program Contact will receive a copy of the email by default.

  7. Enter the desired information into the Subject field.

     

    In this example, enter a valid value e.g. "Z420C130002 Large Balance"

  8. Mark the Include award information in email box to include the award number, CFDA/Subprogram, and program title in the email.

  9. Enter the desired information in the Body field.

     

    In this example, enter "According to our records, more than 70% of your 2013-13 program funds have not yet been drawn down."

  10. Click in the Grant File Subject field to select the applicable subject of the email.

  11. Select the desired Grant File Subject from the dropdown list.

     

    In this example, select Budget.

  12. You can also utilize the Spell Check button to verify correct spelling of the message text, and the Attachment button to add documents to the email.

  13. Click the Send and file button to send the email to the addressed recipients and to save a copy to the Grant File.

  14. Notification of 'Email sent successfully' will display.

  15. Click the Grant File tab to view the documents within the Grant File.

  16. Click in the Section field to select a specific section of the Grant File.

  17. Select Section 3: Correspondence.

  18. Click the Vertical scrollbar to scroll down.

  19. The email is now saved in the Grant File.

  21. Hover over the Main menu and click the My HomePage menu item to return to the My Home Page screen.
