Send an Ineligibility Letter


Concept

In this topic, you will learn how to send an ineligibility letter in G5.


Steps:

  1. Click the Application Maintenance menu item to begin the process of sending an ineligibility letter.

  2. Note:  You must first query the ineligible applications.

  3. Enter the information into the Fiscal Year field.

     

    For this example, enter a valid value e.g. "2012".

  4. Enter the information into the CFDA/Subprogram No. field.

     

    For this example, enter a valid value e.g. "84.422B".

  5. Enter the information into the Schedule No. field.

     

    For this example, enter a valid value e.g. "14".

  6. Click the View Ineligibles option to limit the system search to ineligible applications.

  7. Click the Search button to search for the ineligible applications.

  8. Click the Vertical scrollbar to scroll down and view the ineligible applications.

  9. Click the Select button to mark the application for Award P422B120040.

  10. Click the Send Ineligibility Letter button to display the ineligibility letter.

  11. The Modify Ineligibility Letter screen displays and defaults to the Modify Letter tab.  The system automatically populates the email address and street address for the Authorized Representative listed on the application.

     

    Click the Vertical scrollbar to scroll down and review the letter.

  12. NoteThe To, Subject and Letter Body sections may be updated as needed.  Also, the Department's program contact information populates from the schedule information.  For this example, the default information will be kept.

  13. Click the Continue > button to proceed to the Summary screen.

  14. Click the Vertical scrollbar to scroll down and review the Summary information.

  15. Click the Save & Send button to save the letter to the system and send it to the recipient via email.

  16. The Confirmation screen displays with a message indicating that the letter has been saved and sent.

     

    Click the Vertical scrollbar to scroll down.

  17. Note:  You may click the Generate Letter in PDF link to view and print the ineligibility letter.

     

    Also NoteIf you would like to send additional letters, you can click the Done button to return to the search screen and repeat the process.

  18. Click the Go To Home button to return to the My Home Page screen.
